About the Job
Location: Clark, Freeport, Pampanga
Schedule: 8:00 AM – 5:00 PM U.S. Eastern Time (Night Shift PH Time)
Work Setup: Onsite
We are looking for an experienced and dependable Scheduling Manager with proven leadership experience and strong organizational and communication skills to join our team. The ideal candidate will oversee the scheduling operations and lead a team that supports one of our clients in the U.S. This role requires working U.S. hours and being based in our Pampanga office.
Responsibilities:
- Oversee Scheduling Team: Lead, train, and support the scheduling staff, ensuring the team follows scheduling protocols and meets organizational needs.
- Create and Review Schedules: Oversee the development of work schedules to ensure the appropriate staff and resources are allocated efficiently for operational requirements.
- Coordinate with Management and Departments: Work closely with department heads, HR, and other stakeholders to align schedules with staffing needs, business priorities, and employee availability.
- Monitor Scheduling Systems: Manage the scheduling software or tools to maintain accurate, up-to-date schedules and resolve any discrepancies that arise.
- Handle Schedule Adjustments: Respond to unexpected scheduling changes such as staff absences, increased workload, or other urgent requests and make appropriate adjustments in real-time.
- Ensure Compliance: Ensure that all scheduling practices are compliant with the company policies.
- Report and Analyze: Track scheduling metrics, such as overtime, shift coverage, and staffing levels. Analyze data to identify trends, optimize resource allocation, and report findings to senior management.
- Problem Resolution: Address and resolve any conflicts or issues related to scheduling, such as employee disputes, shift swaps, or excessive overtime.
- Forecast and Plan: Assist in forecasting staffing needs based on projected workloads, peak times, or special events and work with HR to adjust schedules accordingly.
- Continuous Improvement: Recommend and implement improvements to scheduling processes and systems to increase efficiency and accuracy.
Requirements:
- Minimum 5 years of experience in scheduling or workforce management.
- Proven leadership or managerial experience in a similar role.
- Strong written and verbal communication skills in English.
- Bachelor’s degree in Business or a related field.
- High attention to detail and strong organizational skills.
- Self-driven, adaptable, and proactive mindset.
- Must be dependable, honest, and solution-oriented.
- Willing to work full-time onsite in Clark, Pampanga.
